Refund Tracker is an innovative feature within the Travelport Mobile Agent platform designed specifically for travel agents to manage and monitor the usage of GDS ticket segments. The service automatically fetches ticket data and assesses segment utilization. Tickets with all segments used are removed from the dataset. For tickets where the last segment date has passed and there are still open/unused segments, these are listed for you to review, verify, and decide if a refund is applicable.
2. Advantages of Using Refund Tracker
Using Refund Tracker brings several significant advantages that enhance the efficiency and profitability of your operations:
Ease of Use: Refund Tracker operates fully automatically, requiring no active management or oversight from you. The system continuously monitors ticket segments, and you only need to take action when it identifies tickets with unused segments. This automation frees up your time and reduces the manual effort required to track ticket statuses.
Financial Benefits: In the busy world of travel agencies, it's common for some ticket segments to go unused, often overlooked amidst thousands of bookings. Refund Tracker helps you capitalize on these opportunities by identifying refundable segments. Recovering funds from these unused tickets, including taxes, can contribute significantly to your agency’s financial health, turning potential losses into substantial savings.
Act Only When Necessary: The fully automated nature of Refund Tracker means that you only engage with the system when there is a direct action to be taken—primarily when there is a ticket with the potential for a refund. This targeted approach ensures that your efforts are always productive, focused solely on actions that have a tangible benefit, thus eliminating repetitive and time-consuming tasks.
3. Authorization to Access Tickets
To utilize Refund Tracker, you must authorize us to access your Pseudo City Code (PCC) to read all ticketing information. This access enables Refund Tracker to operate effectively, providing you with valuable insights and opportunities for action on unused ticket segments.
4. Scope of Service Activation
When you activate this service, it becomes active for all Travelport Mobile Agent Users that share the same PCC, extending the benefits and functionalities of Refund Tracker across your organization.
5. Limitations and Disclaimers
We cannot guarantee that all tickets with open segments eligible for refunds will be reported due to technical failures, non-sign-in events, and other unforeseen issues that may affect the retrieval and accuracy of ticket status.
6. Agency Responsibility
Refund Tracker serves as a supportive tool to report potential open segments. It is important to understand that Refund Tracker will not execute refunds. The service simply reports to the user the tickets that have unused segments that fall into the standard IATA refund policy. It is your responsibility as an agent to verify the eligibility for refunds based on specific airline rules and to process such refunds. TTS will not be held responsible for any Agency Debit Memos (ADMs) or other financial discrepancies arising from the refund process.
7. Processing and Storage of Ticket Data
Following your logoff each day, Refund Tracker processes the retrieved ticket data in the background. The feature focuses on identifying tickets with open segments and stores this information on our secure servers until the date of the last segment passes. The stored data will include the minimum information required to track open segments and potential refunds, with no passenger identification data stored to ensure privacy compliance.
8. Unused Segments Report
Every time Refund Tracker detects unused segments that may be eligible for a refund based on standard IATA rules, it will report these segments in a list to you. This allows you to review and make informed decisions regarding potential refunds.
9. Privacy and Data Protection
We are committed to protecting your data and the privacy of passenger information. Refund Tracker has been designed with privacy at its core, ensuring that no personally identifiable information (PII) of passengers is stored or processed and that all data handling and storage comply with applicable data protection laws and best practices in the industry.
10. Your Responsibilities
By using Refund Tracker, you agree to maintain the confidentiality of your access credentials to Travelport Mobile Agent and ensure that your authorization for us to access ticket data is consistent with any agreements or laws applicable to your operations.
11. Changes and Updates
We reserve the right to update or modify these terms to reflect changes in our practices or enhancements to Refund Tracker. Such changes will be communicated to you in advance through standard communication channels used for Travelport Mobile Agent updates.
